Questions to Ask on Your Barn Venue Site Tour

A venue tour is 45 minutes that decides a five-figure booking. Bring this list, take photos of the unpretty corners (kitchen, bathrooms, load-in), and leave with numbers — not just feelings.

Availability and exclusivity

Is our date open — and is the whole property ours, or shared with another event? Ask how many weddings happen per day and per weekend. One wedding at a time is the gold standard; anything else needs specifics in writing.

What exactly is included?

Tables, chairs, linens, glassware, staff, cleanup, parking, getting-ready rooms — check each one. Then ask what costs extra: heaters, generators, dance floor, overtime, security. The gap between “included” and “available” is where budgets break.

Vendors, curfews and the day-of team

Can we bring our caterer, or must we choose from a list? When does amplified music end? Who from the venue is present on the day, and what do they actually do? A named coordinator beats a “day-of contact” every time.

Logistics most couples forget

Where do vendors load in? Where does the shuttle turn around? Is there cell service for card readers and rideshares? Where do the flowers wait in July heat? These small answers predict how smooth your day feels.

Take this list on every tour

  • Tour at the same time of day as your planned ceremony.
  • Photograph the ceiling — lighting rigs, fans and sprinklers all show up in pictures.
  • Ask for a sample timeline from a recent wedding like yours.
  • Meet the person who will actually be there on your day.
  • Get the quote itemized, in writing, before you leave.
